1. About us and these terms

Agreement

Better World Bar Hire is a trading name of Better World Group Limited (company number 11800608, registered in England and Wales, registered office 36 Palmar Crescent, Bexleyheath, Kent, DA7 4LG). In these terms, “we”, “us” and “our” mean Better World Group Limited, and “you” means the person or organisation making the booking.

These terms apply to every event booking, whether you book as a business or as a private individual. Where a clause applies to only one of those, it says so. If you book as a private individual (a consumer), nothing in these terms affects your legal rights.

2. Quotes and bookings

Quotes
  • Quotations provided by Better World Bar Hire are valid for 30 days from the date of issue.
  • Your booking is confirmed once we have received your deposit and sent you a written booking confirmation.
  • Your quote, your booking confirmation and these terms together form our agreement. If they conflict, your booking confirmation takes priority.

3. Deposit and payment

Payment

All event bookings require a deposit to secure your chosen date. The amount is shown on your quote. The deposit is non-refundable, except where you cancel within the cooling-off period (clause 5) or where we cancel (clause 6).

The remaining balance must be paid in full 14 days before the event date. If it is not paid on time, we will remind you, and if it remains unpaid we may treat the booking as cancelled by you under clause 4.

Prices are in pounds sterling. Your quote shows whether VAT applies.

4. Cancellations and postponements

Cancellations
  • If you cancel your booking more than 30 days before the event date, we will retain the deposit but no further charges will apply.
  • Cancellations made within 30 days of the event require full payment, because by then we have committed staff, stock and equipment to your date. We will always try to reduce our losses, and we will refund any costs we are able to save, such as stock we can return or staff we can rebook.
  • Postponements are subject to our availability and may incur an administrative fee, which we will tell you before you agree to the new date.
  • Please tell us about any cancellation or postponement in writing, by email.

5. Your right to cancel (private bookings)

Cooling-off

For private consumer bookings made online, by email or by phone, you have a 14 day cooling off period under the Consumer Contracts Regulations 2013. You can cancel for any reason within 14 days of your booking being confirmed, and we will refund everything you have paid, including your deposit, within 14 days of you telling us.

If you explicitly request the event to take place within this timeframe, you are asking us to start providing the service during the cooling-off period. You can still cancel, but you will pay for anything we have already provided or committed to your event, and the right to cancel ends once the event has taken place.

To cancel, email us with your name and event date, or use the contact details in clause 16. Business bookings do not have a cooling-off period.

6. If we have to cancel

Our commitment

If we have to cancel your booking for a reason within our control, we will refund everything you have paid, including your deposit.

If an event outside our reasonable control prevents us from providing the service (clause 11), we will offer you a new date where we can, or refund what you have paid for any services we are unable to provide.

7. Licensing and permissions

Licensing

We manage all standard alcohol licensing and Temporary Event Notices required to operate our mobile bar services legally.

The client must ensure their chosen venue permits external mobile bar services and provides all necessary access for our staff.

Some licensing notices must be given to the local authority a minimum number of working days before an event. Please confirm your venue, date and timings as early as you can: late changes can affect whether alcohol can legally be served, and we will tell you straight away if a change puts that at risk.

8. Venue access and setup

Venue
  • We require safe and clear access to the venue at least three hours before the agreed service begins.
  • Unless an off grid setup is explicitly agreed in advance, the client must provide access to a standard 13 amp power socket for our digital screens and refrigeration units.
  • Please tell us in advance about anything that affects getting our bar in and out, such as stairs, lifts, parking or fixed load-in times. If access on the day differs from what was agreed, setup may take longer, and we will discuss any extra cost with you before incurring it.

9. Responsible service

Service

We serve alcohol responsibly and in line with the law. Our staff will not serve anyone under 18 and may ask for identification. They may refuse service to anyone who appears intoxicated or behaves in a threatening or abusive way, and we may pause or stop service if we believe the law, a licensing condition or the safety of our staff is at risk.

10. Breakages and damage

Damage

The client is responsible for any damage caused to our digital screens, physical bar structures or specialist equipment by their guests or venue staff during the event. Any repair or replacement costs will be invoiced to the client following the event.

This does not cover ordinary wear and tear, or damage caused by our own staff.

11. Liability, insurance and events outside our control

Liability

Better World Bar Hire holds comprehensive public liability insurance up to 10 million pounds.

We are not liable for any failure to perform our obligations due to events outside our reasonable control, such as extreme weather, venue closures or sudden supplier failures. Clause 6 explains what happens to your payments if this happens.

Our total liability to you for any breach of contract is capped at the total price paid for the event services.

  • Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited or excluded by law.
  • If you are a business, we are not liable for loss of profit, revenue or business opportunity, or for any indirect or consequential loss.
  • If you are a consumer, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care and skill.

12. Complaints

Putting things right

If something is not right on the day, please tell our team at the bar so we can put it right there and then. If you are unhappy after the event, contact us using the details in clause 16 and we will respond as quickly as we can.

13. Using our website

Website

All content on this website, including text, images, logos, graphics and downloadable materials, remains the property of Better World Group Limited or its licensors. You may not copy, reproduce, distribute or use any content without our prior written permission.

Where our website links to other websites, we are not responsible for their content or their policies.

14. Changes to these terms

Updates

We may update these terms from time to time. The version that applies to your booking is the one in force on the date your booking was confirmed.

15. Governing law

Jurisdiction

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction over any dispute. If you are a consumer living in Scotland or Northern Ireland, you may also bring proceedings in your local courts.
