Better World Bar Hire is a trading name of Better World Group Limited, registered in England and Wales (company number 11800608), with its registered office at 36 Palmar Crescent, Bexleyheath, Kent, DA7 4LG. We are the controller of the personal data described in this policy.

We are committed to protecting your personal data and complying with all UK data protection laws, including the UK GDPR and the Data Protection Act 2018. Our privacy contact is our founder, Randy Rampersad (see section 11).

When you send an enquiry

Your name, company (if you give one), email address, phone number, event date, venue location, number of guests, event type, event details, how you heard about us, and anything you type into the “Other” boxes.

How you found us

Sent with your enquiry: the website that sent you to us (for example google.com), the first page you visited on our site, and any campaign tag in the link you followed. Until you send an enquiry, this stays in your own browser (see the Cookie Policy below).

When you book with us

The details needed to deliver and invoice your event, and a record of your booking and payments. We do not collect payment card details through this website.

When you contact us

The emails, messages and call details you send us.

To protect the enquiry form

Your IP address and basic browser information, used only to stop spam and abuse (see sections 4 and 6).

To respond to your enquiry and prepare a quote

Taking steps at your request before entering into a contract.

We only send you news about our services where the law allows it, and every message lets you opt out. You can ask us to stop using your details for marketing at any time.

We will never sell your personal data. We share it only with essential service providers who help us run our business safely, and who may only use it on our instructions:

Vercel

Hosts our website.

Supabase

Stores the enquiries sent through our website in a secure database.

Resend

Sends the email confirming your enquiry, and our notification of it.

Google Workspace

Our business email, where we correspond with you.

Cloudflare

Provides Turnstile, the bot protection on our enquiry form. It receives your IP address and basic browser information once you start filling in the form.

Komoot (Photon)

Suggests venue addresses. It receives what you type into the venue box, once you have typed at least three characters.

Google Maps and YouTube receive information only if you choose to load the map on our contact page or play one of our videos (see the Cookie Policy below). We may also share data where the law requires it, to protect our legal rights, or with a buyer if our business is ever sold.

Some of our service providers are based in, or process data in, the United States or the European Economic Area. Where your data leaves the UK, it is protected by UK adequacy regulations (including the UK-US data bridge for certified US providers) or by the ICO’s approved International Data Transfer Agreement or Addendum.

We only retain your personal data for as long as necessary.

• Unconverted event enquiries are securely deleted after 12 months.
• Confirmed customer records and event details are retained for seven years to comply with UK tax laws and financial reporting requirements.
• For spam protection, our website keeps only a scrambled, one-way version of your IP address, in memory, for 10 minutes. It is never stored with your enquiry.

Our website is served over an encrypted connection. Enquiries are stored in a database that cannot be read from the public website, and access to personal data is limited to the people who need it to run your booking. No online system is completely risk-free, but we take reasonable steps to keep your data safe.

You have the right to:

• Access your personal data and receive a copy of the data we hold about you.
• Correct data that is wrong or incomplete.
• Ask us to delete your data.
• Ask us to restrict how we use your data, or object to our using it, including for marketing.
• Receive data you gave us in a portable format.

To exercise any of these rights, contact us using the details in section 11. It is free, and we will respond within one month. We may ask you to confirm your identity first.

If you have any concerns about how we handle your data, please contact us first so we can put it right. You also have the right to complain directly to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

Our services involve serving alcohol and are for adults. This website is not intended for anyone under 18, and we do not knowingly collect data from anyone under 18. If we learn that we have, we will delete it.

We will update this policy whenever the way we handle personal data changes. The effective date at the top of this page shows when it was last updated.

This website does not set any cookies of its own and does not use analytics or advertising trackers, which is why you do not see a cookie banner.

It keeps one small item in your browser’s session storage, called bw_source: the website that sent you to us, the first page you visited and any campaign tag in the link. It is deleted automatically when you close the tab, and it only reaches us if you send an enquiry through our form, where it helps us understand how people find us. You can clear it at any time in your browser settings.

These load only when you use them. We checked what each one stores on 26 September 2026:

Cloudflare Turnstile (enquiry form)

Loads when you start filling in the enquiry form, to check you are a real person. It stores one item in your browser’s local storage (cf.turnstile.u) and sets no cookies. This is strictly necessary to protect the form from spam.

Google Maps (contact page)

Loads only if you press “Show map”. Google may collect information and set cookies under Google’s own privacy policy.

YouTube videos

Load only when you press play, in YouTube’s privacy-enhanced mode. YouTube stores player settings in your browser’s local storage (for example yt-player-caption-persistence), under Google’s privacy policy.

Venue suggestions (Komoot Photon)

Sets no cookies. It receives only what you type into the venue box.

You can clear or block cookies and local storage in your browser settings at any time. If you block storage for Cloudflare, the security check on our enquiry form may not work; you can still reach us by email or phone.
